This
year's project is titled ‘Victory School Club Membership
System’. Candidates are required to develop a well-documented database management
system for Victory School to support the school’s various clubs and societies’ operations.
Clubs and societies
Victory
School’s clubs and societies are organised, student-led groups formed to engage
students in specific co-curricular areas of interest. Each club/society is
assigned a patron who is a teacher.
Forms
and streams
Victory
School has four streams in each form namely East (E), North (N),
South (S) and West (W). A class is therefore identified by form and
stream e.g. 2 East (2E) and 4 South (4S).
Newly
admitted students to join at least one club/society
Each
student is required, upon admission to Victory School, to be registered as a
member of at least one club/society. Details to be captured when registering a
student as a member include the admission number, name and class. A new member
joining a club/society is required to pay a non-refundable registration fee
which varies from club to club.

club/society membership categories
Membership
in Victory School clubs and societies is categorized into two – regular/general
members and executive (leadership) members. Regular members perform core
activities of the club and attend regular meetings while executive members hold
specific leadership positions and are responsible for guiding the
club/society’s activities, making decisions and coordinating events.
Club/society
membership changes at beginning of every academic year
Victory
School allows students to join existing clubs/societies as new members of exit
their clubs/societies at the beginning of every academic year. Each student
must remain a member of at least one club/society. Executive members must
obtain the club/society patron’s clearance before exiting.
Clubs
and societies’ revenue-generating activities
Each
club and society at Victory School is required to carry out one
revenue-generating activity to support its other club activities. The frequency
of the revenue-generating activities is not set out.
Appropriation/utilization
of club/society registration fees and generated revenue
Fifty
percent (50%) of registration fees and revenue collected by each Victory
School club/society is allocated to supporting the club/society’s ongoing
activities. Thirty percent (30%) is allocated to organizing the
club/society’s annual party or outing. The balance of twenty percent (20%)
is saved.

Victory
School supports clubs and societies’ annual parties/outings by contributing 70%
of the budget.

a) Clubs and societies’ records
Ø The system should be able to store details of
club and societies including their patrons and leaders/executive members.
Ø The system should be able to store details of
annual clubs and societies’ membership changes.
b) Students’ records
Ø The system should be able to store details of
Victory School students including their respective classes and the
clubs/societies they belong to (at enrolment and as they progress along).
Ø The system should be able to compute and store
details of registration fees charged on new members of clubs and societies.
c) Clubs and societies’ activities and annual
parties/outings’ records
Ø The system should be able to store details of
activities carried out by the various clubs and societies including the
activity name, date of occurrence and amount collected (for revenue-generating
activities)
Ø The system should be able to store details of
each club/society’s annual party/outing including the date of occurrence and
the budget.
Ø The system should be able to compute
appropriation of revenue collected from clubs and societies’ revenue-generating
activities.
Ø The system should be able to compute the school’s
financial contribution to clubs and societies’ annual parties/outings.
Ø Duly authorized users of the system should be
able to manage the clubs and societies’ finances.
d) Reports
Ø The system should be able to generate various appropriate
reports mostly based on the system’s computation capabilities. The reports
range from simple lists of clubs and societies to complex financial summaries
for each club/society.

This
project is fairly open-ended and presents an opportunity for flexibility in
design and data-processing approaches.
To
develop this project, you’ll need:
A
database management system: Recommended - Microsoft Access 2010 or higher.
Microsoft Access 2010 has some important features not available in Microsft
Access 2007 such as calculated fields in tables.
Solid
planning: Candidates should take their
time to visualize what they want their systems to look like thus develop a
roadmap starting with the basics. Even with a plan, one will meet a few
obstacles but with a plan, will be able to go back and make corrections. The
starting point should be coming up with basic tables and queries.
Security
and backups: this can be
achieved through password-protecting the database as well as regularly backing
it up. Backups of the database should be made regularly especially prior to
making significant prior design changes. Copies of the password-protected
project at various stages can also be stored on a backup storage device/service
e.g., a flash drive, CD-RW/DVD-RW disc, Google Drive, DropBox etc.
